Terms & Conditions
The terms that govern your booking and your journey with us.
Effective · January 1, 2025
These terms set out the agreement between you and Arrive Africa Safaris when you book a trip with us. They are written to be clear, fair, and to make sure you know what to expect from us — and what we will need from you — at each stage of your journey.
About these terms
These terms apply to every booking made with Arrive Africa Safaris. By confirming a booking, the lead traveller accepts these terms on behalf of every traveller in the party. Please read them carefully and ask us if anything is unclear.
Booking and confirmation
A booking is confirmed once we have received your signed booking form and the required deposit, and we have issued a written confirmation. Until then, no contract exists between us. We reserve the right to decline a booking at our discretion, in which case any deposit will be refunded in full.
Payments
A non-refundable deposit is required to confirm your booking. The balance is due no later than 90 days before departure. For bookings made within 90 days of departure, the full amount is due at the time of booking. We accept payment by bank transfer and major credit cards. Bank charges are the responsibility of the traveller.
Pricing and inclusions
Prices are quoted per person and are valid only when confirmed in writing on your itinerary. Inclusions and exclusions are listed clearly on every quotation. Prices may change before booking due to fluctuations in exchange rates, government taxes, fuel surcharges, or supplier rates; once your booking is confirmed and paid, the price is fixed.
Changes by you
If you wish to change your booking after confirmation, we will do everything we reasonably can to accommodate the request. Any changes are subject to the policies of the underlying suppliers (lodges, airlines, ground operators) and may incur additional charges. Significant changes close to departure may be treated as a cancellation and rebooking.
Cancellations by you
Cancellations must be made in writing. The deposit is non-refundable. Cancellations made between 90 and 60 days of departure forfeit 50% of the trip cost; between 60 and 30 days, 75%; within 30 days of departure, 100%. We strongly encourage comprehensive travel insurance to protect against unrecoverable costs.
Changes or cancellations by us
Although it is rare, sometimes circumstances beyond our control require us to change or cancel a journey. Where we make a significant change, you may accept the change, accept an alternative trip of comparable standard, or cancel and receive a full refund of monies paid to us. We are not liable for incidental costs (such as visas, vaccinations, or non-refundable flights) booked independently.
Travel insurance
Comprehensive travel insurance — covering medical evacuation, trip cancellation, baggage, and the activities you intend to do — is a condition of travel with us. We require evidence of cover before final documents are issued.
Passports, visas, and health
It is your responsibility to ensure your passport is valid for at least six months beyond your return date and to obtain any visas required for your itinerary. We will advise on requirements but cannot be held responsible for refused entry. Health and vaccination requirements should be confirmed with a qualified travel-health practitioner well in advance of departure.
Risks of travel
Safari travel involves elements of risk inherent in remote-area travel and proximity to wildlife. By booking with us, you acknowledge these risks and agree to follow the reasonable instructions of guides and lodge staff at all times. We require every traveller to sign a separate liability acknowledgement before departure.
Our liability
We act as an agent for the suppliers who deliver the components of your journey. While we choose our partners with great care and supervise the journey closely, we are not liable for the acts or omissions of these independent suppliers, or for any loss, injury, or damage arising from circumstances beyond our reasonable control. Our total liability to you is limited to the amount paid for your booking.
Complaints
If something is not right during your trip, please tell your guide, lodge manager, or our office immediately so we can put it right. Any complaint that cannot be resolved on the ground should be made to us in writing within 28 days of return.
Governing law
These terms are governed by the laws of the jurisdiction in which Arrive Africa Safaris is registered, and any dispute will be subject to the exclusive jurisdiction of its courts.
Speak to us about your booking
If you would like to discuss any part of these terms, or have a question about a current or planned booking, please get in touch. We are happy to talk it through.
